JOB DESCRIPTION

TITLE: Administrative Assistant - Media

TIME REQUIREMENTS: 12 hours/week

REPORTS TO: Dir for Southern Services

WAGE RANGE: $12.00-13.07

SUPERVISES: Not Applicable

OVERTIME STATUS: Non-Exempt

HOURS: TBA

CONTRACT TYPE: At-Will

BASIC MINIMUM REQUIREMENTS:

Education and Experience:

High School Diploma, or equivalent

Must pass a reference check

Knowledge / Technical Skills / Abilities:

Knowledge and ability to effectively use Microsoft Office programs.

Knowledge and ability to effectively use email, social networking, video creation/editing, and other cloud-based programs and functionality for professional and marketing purposes.

Excellent verbal and written communication skills (including proofreading).

Excellent social skills with ability to interact professionally with staff and others, whether in person, telephonically, or otherwise remotely.

Effective keyboarding skills.

Ability to work in a team approach.

Ability to maintain security and confidentiality of internal information.

PREFERRED BACKGROUND:

(Preferred Background is subject to change from time to time to meet the needs of CES)

At least 24 semester hours of College credit, maintaining a gpa of at least 3.0

One (1) year experience in a position with creative internet-based responsibilities

Experience designing and maintaining websites or social networking pages

Experience creating video clips for marketing

EQUIPMENT USED IN PERFORMING JOB (including but not limited to):

Networked computer with Windows OS, telephone, copier/scanner/printer, calculator

PHYSICAL REQUIREMENTS / WORK ENVIRONMENT (including job hazards):

Standard Office environment. Position requires sitting, walking, and extended time spent on the computer at any one time, inputting data and creating documents, communications, web entries and media, all of varying complexity. Must be able to lift a minimum of 20 lbs. Periodically shares in other duties.

ESSENTIAL JOB TASKS:

All tasks are performed in accordance with established policies, procedures, safety and environmental regulations and computer security guidelines. Tasks are subject to change from time to time to meet the needs of the organization.

Communications

Create, develop, and maintain social networking sites

Create and develop media content

Develop and prepare brochures, mailings, and other marketing materials

Interact with other staff to determine content of developed materials

Data Entry

Track media usage data

Prepare, distribute, compile, and report regarding data

Document and Report Preparation

Prepare and distribute mailings, postings, and reports as assigned

STAFF AND LINE RELATIONSHIPS

Responsible to Director for Southern Services

Staff cooperative and sharing relations established with the following:

Executive Director

Deputy Director

Director of Ancillary

Director of HR

Manager of REAP

Procurement Manager

Technology Manager

Other Duties as assigned by Supervisor

Highest Priority – Regular Scheduled Activities

Daily

Monitor social networking sites for questions/concerns/messages

Segregate questions/concerns/messages by functional department, and secure and post responses

In Director's absence, transcribe phone messages into emails

Weekly

Update CES social network sites, posting including current CES news and marketing bits

Script and create audio/video segments to support the mission of CES

Semi-Monthly

Provide report of work activities (due 10th & 25th of each month)

Monthly

Provide report of site usage as directed

Ongoing

Learn about programs and operational processes at CES

Develop and propose ideas for enhancement and improvement of CES media programs
