Position Information

*We are looking for two full-time medical assistants and possibly one part-time assistant. One full-time position is more geared toward receptionist and the other is more toward medical records and preparing charts for the physician. The part-time position is for about 10 hours a week and may be more medical - assisting the RN's with IV prep.

The Front Office/ Medical Assistant is critical for the efficient, productive, and professional operation of the front office of the medical practice. Duties include greeting and scheduling patients and visitors, checking patients in and out, preparing charts for appointments, taking vital signs, stocking vitamins, calling patients to remind them of appointments, communicating with insurance companies, answering and routing calls, making transactions, and keeping paperwork organized.

Duties and Responsibilities

-Take vital signs, prepare charts for appointments, assist with procedures.
-Greet patients and verify patient information with the patient.
-Answer phone, check voicemail, take phone messages and/ or direct calls accordingly.
-Check-in and register patients according to established protocols.
-Schedule patient appointments
-Collect payments
-Record and call in prescriptions
-Schedule hospital admissions, tests, scans and outside appointments for patients
-Maintain and manage patient records, including documenting communication/ messages
-Move patients through appointments as scheduled
-Fulfill orders for supplements for either pickup or shipping
-Maintain stock of forms, supplements, and office supplies
-Ensure patient information is accurate including billing information
-Inform patients of medical office procedure and policy
-Obtain external medical records as required by medical professionals
-Address patient requests for information
-Sort and distribute incoming and outgoing mail
-Complete other clerical duties as assigned
-Ensure reception area is well maintained, neat and clean
-Safeguard patient privacy and confidentiality, per HIPAA regulations.
Minimum Education
-High School diploma or GED

Minimum Experience
-At least one year experience in a medical office or similar setting.
-Have demonstrated competency in basic computer skills.
-Must be bilingual (English/ Spanish).
-Must be detail-oriented and have strong customer service skills (pleasant demeanor, strong written and verbal communication skills, effective at problem solving, good rapport with clients).
-Experience working with insurance companies, obtaining prior authorizations, and coding is preferred.
-Certified medical assistant certificate is preferred, but not required

Physical Requirements
-Ability to lift 10 pounds.
