Position Information

The Front Office/Medical Assistant assumes responsibility for the efficient, productive, and professional operation of the front office of the medical practice, which includes preparation of patient charts for appointments, taking/documenting vital signs, telephone and patient reception, scheduling of patients, collecting patient demographic and insurance information, maintaining nonclinical supplies, and receiving/documenting patient payments.


1. Greets patients upon their arrival, and verifies patient information with the patient
2. Takes and documents vital signs and updates medication list and other information
3. Assists doctors and nurses as needed
4. Assesses patient’s condition and notifies appropriate medical staff
5. Obtains appropriate consents for treatment, signed insurance forms/referrals and adequate proof of insurance coverage
6. Contributes to customer/patient satisfaction initiatives by providing prompt service, offering a friendly, helpful communication
style and making every effort to resolve customer issues and concerns
7. Initiates patient registration by selecting the correct medical record, and encounter; assures all information is reviewed for
accuracy on the financial ledger and chart
8. Prepares charts for new patients, while maintaining existing patients charts (including documentation of conversations/actions)
9. Assists with pulling charts for daily appointments and walk-ins, ensuring that charts are pulled for patient phone messages, test
results and patient no-shows are routed accordingly to physicians.
10. Balances encounters and sign-in sheets daily
11. Sends requests for medical records
12. Answers phone, checks voicemail, takes phone messages and/or direct calls accordingly
13. Fills out intake forms for prospective patients
14. Distributes signed orders
15. Contacts patients for appointment reminders and to reschedule appointments, if necessary, due to scheduling conflicts
16. Schedules appointments and follow-up appointments
17. Collects payments and issues receipts and maintains accurate cash log
18. Fulfills supplement orders for pickup or shipping
19. Stocks supplement inventory
20. Assists with keeping the premises clean and bathroom paper supplies stocked between scheduled cleanings
21. Records prescription orders in chart, if not already done by medical staff
22. Archives charts and prepare for storage
23. Performs job duties in an independent manner
24. Follows up on accounts that may require additional billing and/or insurance information
25. Like all IMC team members, is accountable to high standards of excellence
26. Demonstrates ability to assess a situation, consider alternatives and choose an appropriate course of action
27. Performs other related duties as assigned or requested
Minimum Education: R.N. with current NM license

Minimum Experience: At least 3 years experience in a medical office or hospital setting. Significant experience and proficiency administering IV therapy. Physically able to bend, lift 25 pounds, and stand for a length of time. Have a working knowledge of HIPAA and OSHA. Computer experience and understanding of Integrative Medicine modalities a plus. Bilingual (English/Spanish) preferred, but not required. Experience communicating with insurance companies and knowledge of insurance coding. Good communication skills and phone skills strongly preferred. Must be a good leader, a self-starter, observant, team oriented, a good communicator and possess good people skills.
